Where Shawnee Property Records Are Held

All property records for land in Shawnee are on file with Pottawatomie County. Because Shawnee is the county seat, the County Clerk's office is located right in the city. This office is the legal custodian of all recorded land instruments, from standard warranty deeds to oil and gas leases and tax liens. You don't have to travel elsewhere. The courthouse is the hub for all recorded documents tied to real estate in this part of Oklahoma.

The city itself does not maintain its own land records database. Property filings go directly to the county level under Oklahoma law. That means any deed, mortgage, release, or plat map recorded for a Shawnee address is indexed and stored by the Pottawatomie County Clerk. When doing title research or checking ownership, always start at the county level.

Pottawatomie County Clerk

The Pottawatomie County Clerk is Raeshel Flewallen. The office is at the Pottawatomie County Courthouse in Shawnee. Staff can search by grantor or grantee name and pull up recorded instruments going back decades. You can get plain copies or certified copies with the county seal. Certified copies are needed for legal proceedings or title transfers. Plain copies cost less and work fine for general research.

The clerk's office handles deeds, mortgages, mineral deeds, oil and gas leases, lien releases, plat maps, and related land documents. You can visit in person or call ahead to ask about search options and copy fees. Mail requests are also accepted, but in-person visits are often faster when you need the documents the same day.

Types of Property Records in Shawnee

Warranty deeds are the most common instrument filed for Shawnee real estate. They transfer ownership from seller to buyer with a guarantee of clear title. Quitclaim deeds transfer whatever interest the grantor holds without any warranty. Both appear in the county index when property changes hands. Mortgages and deeds of trust create liens against property to secure loans, and releases discharge those liens once the debt is paid off.

Oil and gas leases are a significant part of Oklahoma's land records system, and Pottawatomie County is no exception. Mineral deeds transfer subsurface rights separately from the surface land. This split ownership arrangement is common across the state, so mineral deed searches are often a key part of title work. Federal tax liens, state tax liens, and judgment liens all show up in the county index when recorded against a property owner.

Plat maps for Shawnee subdivisions are also on file with the County Clerk. These show lot lines, street rights-of-way, and subdivision layout. Easements are recorded and indexed as well. Military discharge papers (DD-214 forms) are filed with the clerk for veterans who want them in the county record. These are kept confidential but can be retrieved by the veteran or authorized family members.

Note: Marriage, divorce, and probate records are separate and are maintained by the Pottawatomie County Court Clerk rather than the County Clerk's office.

Recording Fees for Shawnee Property Documents

Recording fees in Oklahoma follow state law set under Title 28 Section 32, updated effective November 1, 2024. The fee for the first page of any deed, mortgage, or other recorded instrument is $8.00. Each additional page of the same document costs $2.00. A records management and preservation fee of $10.00 applies per instrument. Documents that don't meet standard formatting requirements are recorded as non-conforming at $25.00 for the first page and $10.00 for each additional page.

Senate Bill 57, also effective November 1, 2024, requires a 2-inch top margin and 1-inch margins on all other sides. Documents outside those specs still get recorded but at the higher non-conforming rate. Oklahoma also collects a documentary stamp tax of $0.75 per $500 of consideration under Title 68 Section 3201. On a $200,000 sale, that comes to $300 in documentary stamps paid at the time of recording. Photographic copies from the clerk cost $1.00 per page, and certified copies add another $1.00 per page.

Pottawatomie County Assessor and Property Tax

The Pottawatomie County Assessor is Leona Satterfield. The office is at 309 North Broadway Avenue in Shawnee. The assessor's phone number is (405) 275-4740. This office maintains records separate from the County Clerk. The assessor values all real and personal property in the county for tax purposes and keeps assessment rolls listing owners, parcel descriptions, and valuations for each property.

The assessor's records show the fair cash value of each parcel, the assessed value (which is capped at 11% of fair cash value for residential property), and any exemptions applied. Homestead exemptions are available to owner-occupants who file by March 15 each year. Senior citizens 65 and older with gross household income of $57,500 or less may qualify for a valuation freeze. The Pottawatomie County Treasurer collects property taxes each year. Treasurer Buddy Anderson can be reached at (405) 273-0213. Tax statements go out in November, and the first half is due December 31.

Note: Statewide property tax roll data is also available through OKTaxRolls.com as an additional reference for tax history lookups.

Electronic Filing in Pottawatomie County

Pottawatomie County accepts electronic recording through three providers: Simplifile, CSC eRecording, and ePN. Title companies, lenders, and law firms can use these platforms to submit documents to the County Clerk without mailing paper. The clerk reviews each submission, records it, and returns the stamped document digitally. E-filing speeds up turnaround time and reduces delays for title closings.
